Tasks

Hand the remembering over to IWB

Set up recurring work once, and IWB reminds you as due dates approach. A task linked to an invoice, order, sample, or tender stays on that record, so opening the record shows you how far along the work is.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

Put the work where people already look

Open a record you've linked tasks to, and you'll see that work and its status right there. Quotes, invoices, production orders, tenders, and other record screens share the same task panel. A task you create there is linked to the record, and anyone who opens the record sees the task as far as their permissions allow.

Record-linked tasks get their own list

A separate list is created automatically for tasks opened from records. You'll find these lists under "Record lists" in the sidebar.

02

See which work is waiting on what

A task can't be completed until the task it depends on is done, so dependent work closes in order. The same tasks open in List, Board, Calendar, and Timeline (Gantt) views. If you turn on date shifting in the list settings (it's off by default), you preview and approve new dates for dependent tasks when a task's date slips.

  • Dependency arrows on the Gantt chart, with no arrows to tasks you can't see
  • An "Unblocked" notification when the earlier task is done
  • Due date, closed tasks, and grouping tools, plus a bulk action bar

03

Stop re-creating month-end tasks

Set up recurring work once as a series, with a frequency (daily, weekly, monthly, or yearly) and a day rule such as "last business day of the month." If a date isn't a business day, it moves to the nearest business day in the direction you choose. "Remind me" sets a personal reminder for 30 minutes from now, tomorrow morning, or the due date.

  • The series follows the calendar or the completion of the previous task in the series
  • You can also set a reminder for 1 day before the due date, or for any date and time
  • You can add a note to a reminder if you like

04

Let rules handle the routine steps

When stock drops to a critical level, a receivable goes past due, or an employee leaves, a record rule opens a task and closes it once the condition clears. Each record rule starts from one of 7 built-in sources, and you can also automate steps within your lists with 10 triggers and 13 actions. Automations are saved turned off and run within a daily quota, and a dry run shows how many tasks one would touch before you turn it on.

Rules stay within their author's access

A rule runs as the user who saved it, with that user's visibility. It can't touch a task that user can't see.

05

Have filing tasks open before the deadline

For your company's tax and social security (SGK) obligations, IWB opens a task in the list you choose, as many days before the deadline as you set. VAT, the withholding and social security return (MUHSGK), social security contributions, and provisional tax are among them. In the settings, you can see which ones are tracked and turn each one on or off.

06

See what's waiting for your approval

Purchasing, expense, time entry, and task completion approvals, among others, come to your approval inbox. Flows can be tiered by amount, branch, and person, support delegation, and can pass overdue approvals on to other approvers. My work brings together the tasks assigned to you, items waiting for your approval, and expense claims returned to you.

  • Approve, reject, request changes, or withdraw what you submitted
  • Bulk approval works only on approvals waiting for you, and there's no bulk rejection
  • Every decision is written to the audit trail and can't be changed

Don't let alerts go unowned

When a contract nears its end date, a rule you set up turns the alert into a task for the person responsible. If completion requires approval, the task keeps its status until it's approved, then moves to the Done group.

Plan the week around what's due

Ask what's overdue or due this week, and IWB AI finds the task and reads its details and latest comments. It asks for your approval before it creates, updates, or completes a task, or adds a comment or checklist item.

09Capabilities

What you can do with Tasks

  • Your own statuses

You set each status's name, color, and order, and each status maps to one of 4 fixed groups.

  • Tasks from alerts

Alerts from tenders, contracts, purchasing, licenses, and more become tasks through rules you set up.

  • Task and list templates

Template tasks are assigned by role, and due dates follow the date you choose. IWB comes with 8 built-in templates, including employee onboarding and month-end close.

  • Private and personal tasks

A private task stays hidden even from a role that can see all records.

  • Team workload and list progress

See each person's workload and capacity, with capacity taken from their work schedule in Human Resources. List progress has its own table.

  • Excel and CSV

Import up to 5,000 rows from a template. Exporting requires a separate permission.

  • Mentions and assignments in comments

When you @mention someone, IWB tells you who will be able to see the comment. You can also assign a comment to someone as a to-do.

  • IWB AI

Finds and reads your tasks, and asks for your approval before it creates, updates, or completes one.

Leave tax and social security deadline math to IWB

IWB's tax calendar calculates each deadline, and the task opens as many days before it as you set. If a filing extension is announced, you change the date manually.

  • VAT (KDV1), the withholding and social security return (MUHSGK), social security contributions (4/a), stamp tax, and provisional tax are selected by default
  • You can also have tasks opened for corporate tax, motor vehicle tax, the recycling contribution fee (GEKAP), annual income tax, and the e-Ledger (e-Defter) certificate upload deadline
  • Tax Procedure Law art. 18If a deadline falls on a holiday, it moves to the next business day, and the accountants' fiscal holiday (mali tatil) is taken into account.
  • The employee onboarding template comes with a "File the SGK hire notification" task

Frequently asked questions

What's the difference between Projects and Tasks?

Tasks tracks the work, who owns it, and when it's due. Projects handles budgets, time tracking, costs, and billing. Project tasks also live in Tasks and appear as a list on the project record.

Which dependency types are available?

Finish-to-start: a task can't be completed until the task it depends on is done. Dependencies show as arrows in the Timeline (Gantt) view. If you turn on date shifting in the list settings (it's off by default), you can preview how a date change affects dependent tasks. Other dependency types and critical path calculation aren't available.

Does IWB create tasks for tax deadlines?

Yes. For obligations such as VAT, the withholding and social security return, social security contributions, and provisional tax, IWB opens a task as many days before the deadline as you set. The settings list each obligation and show whether it's tracked.

Can I import tasks from Excel?

Yes. Download the template and import up to 5,000 rows from an Excel or CSV file into the list you choose. Exports go up to 10,000 rows and require a separate permission.

Can I use it on my phone?

Yes, in your phone's browser. The layout adapts to the phone: list selection opens on its own page, and toolbar buttons collapse into icons. There's no separate mobile app and no push notifications. Notifications arrive in the app and by email.
