Multi-company groups

Keep each company's books separate and see the whole group

Every company in your group runs in the same IWB workspace with its own tax ID (VKN), document series, and ledgers. Invoice a sister company and IWB drafts the matching purchase invoice on its side, while intercompany reconciliation and the consolidated trial balance read posted entries only.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01Document flow

Both companies book the same invoice

When Demo A.Ş. invoices its sister company Demo Montaj, the invoice form flags the customer as a sister company. IWB drafts a purchase invoice with the same lines in Demo Montaj, and that company's accountant saves it. Demo Montaj records the payment and Demo A.Ş. the collection, each in its own books. The intercompany reconciliation report compares the two ledgers.

Switch between companies without signing out

From the switcher in the top-right corner, open one company or view several you have access to at once. Each company is a separate legal entity with its own tax ID, document series, and head office branch. Its Accounting and Finance ledgers belong to that tax ID. New records go to your primary company, and a record's company can't be changed later.

  • You set which companies and branches each user works in when you assign their role
  • Opening a record outside the selected companies shows "This record isn't visible in the selected company"
  • IWB AI, Messages, and Email are shared across companies and show as "Shared" in the switcher

You decide who sees which company

Companies in the same workspace are part of the same subscription. You decide who sees each company's records through user permissions.

03

Stop retyping intercompany invoices

No one at the sister company has to retype a sales invoice you issue to them. When the invoice is issued, IWB drafts a purchase invoice there with the same lines, prices, and exchange rate. That draft doesn't create a mirror of its own. If the source invoice is canceled, its pending queue entry is canceled too; a draft already created isn't deleted but is flagged in the queue.

  • Both companies must be linked to a contact card; without that link, the entry is skipped and the reason is shown
  • The source invoice's legal number and date carry over to the draft as the vendor invoice number and date
  • Skipped or failed entries go back into the queue with "Try again"

The accountant has the final say

A draft purchase invoice stays out of the financial statements until it's saved. Saving it is how the other company's accountant approves it.

04

See where each intercompany difference comes from

When the books disagree, the report tells you why: an entry exists in only one ledger, the amount or date differs, or a document reference is missing. For each pair of companies, it shows the net in each ledger and the mirror, document, and payment differences. Reconciliation status looks only at document differences. A payment that reaches the other ledger a few days later counts as a timing difference.

  • The related-party breakdown shows how much each company traded with each sister company, by type
  • An invoice whose journal entry isn't posted yet stays out of the report and waits in the accountant's posting queue
  • Cost recharges are a separate type from sales; if no cost transfer account is mapped, the report says so

Raw data for transfer pricing

The breakdown is the raw data for your transfer pricing form. IWB doesn't produce the form itself or a comparability analysis.

05

Group trial balance in one report, books untouched

Your group companies' trial balances appear side by side, company by company. The report reads posted entries from the statutory (VUK) or management ledger you select, shows the intercompany balance in a separate table, and doesn't subtract it from the totals. That's why the consolidated total isn't consolidated revenue.

  • The consolidated report needs its own permission; access to one company's trial balance isn't enough
  • If a company record has no linked contact, the report says that company's intercompany balance is incomplete
  • The management ledger is turned on in settings and needs its own permission

Your statutory books stay as they are

IWB doesn't post elimination or offset entries, so no company's statutory books get an entry without a transaction behind it. You apply eliminations when you read the report.

06

Share cards, set limits and approvals by company

You don't open a second card for the same customer in another company; you add the existing card to it. Share contact and product cards group-wide or with selected companies, while account balances, risk limits, stock, and costs stay separate in each company. You also set signing limits by person or role, action, and company.

  • When an employee moves to another group company, their history stays and a new dated assignment row is added
  • Departments and teams are shared by all companies
  • Amounts above the limit go to the next manager up for approval

Frequently asked questions

Do we need a separate IWB setup for each company?

No. You set up your group companies as separate companies in the same IWB workspace, each with its own tax ID, document series, and books. Users switch between the companies they have access to in the same session and can view several at once.

How is each company's data kept apart?

Each IWB workspace's data is protected separately in the application and in the database, and users of one workspace can't see another workspace's data. Group companies in the same workspace are part of the same subscription, and user permissions keep them apart. A user sees the records of the companies they have access to, plus the contact and product cards shared with the group.

Does the consolidated trial balance post elimination entries?

No. The intercompany balance appears in a separate table and isn't subtracted from the totals, and no elimination entry is posted. That's why the consolidated total isn't consolidated revenue. The report reads posted entries only.

Do we have to re-enter intercompany invoices in the other company?

No. A sales invoice you issue to a sister company creates a draft purchase invoice in that company, and its accountant saves it. Both companies need to be linked to a contact card. IWB mirrors sales invoices only; orders and stock transfers aren't mirrored to the other company.

Can approval limits differ by company?

Yes. You set signing limits by person or role, action, and company, and amounts above the limit go to the next manager up. Approval steps can depend on amount, branch, and person. Only protected actions, such as purchasing, expenses, finance vouchers, and requests, can go through approval.
