Catch a money-losing project before it wraps up

Drop the side spreadsheet for project profit: link sales, purchasing, and expense documents to the project, and approved hours post to it too. Costs, commitments, and revenue collect in a project ledger whose entries can't be edited, and you read profitability straight from the project record.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

See where each project's margin is heading

Realized margin, margin including committed cost, and estimated margin at completion (EAC) sit side by side on one scorecard. Cost, commitments, and revenue come from a project ledger whose entries can't be edited: corrections go in as reversing entries.

  • Separate lines for revenue (invoiced, unbilled, expected) and cost (actual, committed, budget)
  • Rebuilding the ledger only adds missing entries and never deletes one

02

Don't let missing costs inflate your profit

If labor or stock material costs are missing from the ledger, the scorecard tells you. When there's no labor cost, the margin percentage is hidden and you see "Labor cost not included." Materials issued from the warehouse show a "Stock materials not included" warning. Hours awaiting approval are shown separately and don't count toward the margin.

No guessed amounts

If the exchange rate for an hourly rate can't be found, the amount stays blank and isn't posted to the ledger. IWB doesn't fill in an estimate.

03

Get hours logged to the right project and task

Your team enters hours on a weekly grid and picks the project, task, time type, activity, and work location right on the row. You can copy last week's rows into the new week, with the hours left blank. Start the timer from a task, and when you stop it, IWB creates a draft time entry.

  • Entering time for someone else needs separate permission
  • Very short timer sessions don't create a draft
  • The hourly rate is locked when the week is submitted

04

Spot problem weeks before you approve them

Approve time entries by person and week, with badges on the weeks that need a closer look. With partial approval, eligible rows are approved and the rest are skipped with a reason. Counters warn you about the 11-hour daily limit and the 270-hour annual overtime cap. Hard rules, such as those for employees under 18, apply when the entry is recorded.

No one approves their own hours

If you route time approval through an approval workflow, the person who entered the hours can't approve them (the four-eyes principle).

05

Keep earned revenue from sitting unbilled

Earned but uninvoiced revenue is listed in 0-30, 31-60, 61-90, and 90+ day bands, so you can see how long each item has waited. Select rows, and IWB creates one draft sales invoice per customer. You choose the billing method for each project: fixed price, time and materials, milestone, or not billable.

  • Each row is linked to the invoice when the draft is created, so the same hours can't be billed twice
  • Billing status is derived from that link

06

Take the guesswork out of progress percentages

No one types in a progress percentage. IWB calculates it from the weights of the milestones reached, and if no weights are entered, every milestone counts equally. Templates build the plan from day offsets against the start or end date, follow working-day rules, and skip public holidays. The plan you see in the preview comes from the same calculation as the plan applied to the project.

Start from a ready-made template

The built-in "ERP Implementation" template comes with 7 phases, 19 steps, and 4 milestones.

07Document flow

Log hours once and bill them from the same entry

Link the quote and the order to the project. On a time-and-materials project, approved hours become earned revenue and join the work ready to bill, where you create a draft sales invoice. Once the invoice is issued, the amount moves to invoiced revenue in the project ledger.

Head into month-end knowing your unbilled total

Ask which projects are overdue, how much work is ready to bill, and whether a project is profitable. Users without cost permission don't see cost or margin in IWB AI's answers either.

    09Capabilities

What you can do with Projects

    • Projects on document lines

Link the lines of sales, purchasing, and expense documents to a project. The project on the header carries down to the lines by default, and a project chosen on a line overrides it.

    • Budget lines

Revise the budget with a reason. Entries that aren't linked to a budget line collect in a separate list, and you get alerts at 80% and 100%.

    • Cost privacy

Only people you give cost permission to can see cost, margin, and budget amounts. Without it, the "Over budget" flag is hidden too.

    • Missing days report

See the days with no hours entered. Public holidays and days outside someone's employment don't count as missing. You can also reconcile attendance records with project hours.

    • Team and project access

People you add to the team can see the project. You can also add an installation crew that doesn't have IWB accounts.

    • Site details

The site address and site contact are kept separate from the customer's contact record. Print the work order form for the site from your browser.

    • Collections

See the invoiced, collected, remaining, and overdue amounts on the project record.

    • Project materials in planning

Material lines in the budget that reference a product go to Requirements Planning as demand.

    10Compliance

Overtime won't pass 270 hours unnoticed

IWB tracks the overtime limits in Turkish Labor Law No. 4857 with counters on time entries. The counters warn you, and IWB doesn't calculate overtime pay. Until the invoice is issued, revenue is tracked as earned but unbilled.

    • 4857 Art. 41A 270-hour annual overtime counter. Written overtime consent is read from Human Resources.
    • An 11-hour daily warning. Hard rules for employees under 18, on maternity status, or on part-time contracts apply when the entry is recorded
    • Nine built-in time types. "Overtime" (beyond 45 hours a week) counts toward the 270-hour cap, and "Extra hours work" doesn't
    • Law 4691For technology development zones (TDZ), the work location is tracked separately as "Inside TDZ" or "Outside TDZ".
    • VUK 229Under the Tax Procedure Law (VUK), milestone and hourly revenue becomes invoiced revenue once the invoice is issued.

    Frequently asked questions

Does IWB have Gantt charts and critical path analysis?

You see project tasks in the timeline (Gantt) view in Tasks, with finish-to-start dependencies. The project list also opens in a timeline view. Critical path, resource leveling, and importing Microsoft Project files (MPP) aren't available.

Do materials issued from the warehouse count toward project cost?

No. Stock issues aren't posted to the project ledger, and the scorecard shows a "Stock materials not included" warning. Costs from purchasing and expense documents are posted to the project.

How do I bill hours to a customer?

In the time-and-materials model, approved hours become earned revenue and join the work ready to bill. IWB creates one draft sales invoice per customer from the rows you select.

Where does the hourly cost come from?

The hourly cost rate is calculated from the monthly payroll cost that you enter or import from Excel. IWB doesn't calculate salaries. If the exchange rate can't be found, the amount stays blank and no estimate is posted.

Can I enter a progress percentage manually?

No. Progress is calculated from the weights of the milestones reached. If no weights are entered, milestones count equally and the screen says so. Project health is the only indicator you set manually.
