e-Document

Send e-Invoices and e-Archive invoices from your ERP

By default, an invoice's e-document is queued the moment you issue it, and an e-document error won't hold up the invoice. IWB generates e-Invoices, e-Archive invoices, and e-Waybills in the format set by the Turkish Revenue Administration (GİB), and your chosen integrator seals and delivers them.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

Know which e-documents need attention

Stuck documents get their own count: anything queued for over 24 hours is "Stuck in queue," and anything with no integrator result after 4 hours is "Stuck at integrator." With "Send automatically on issue" on (the default), each document is queued the moment its invoice is issued. A missing setting or an integrator error doesn't stop the invoice from being issued, and once the settings are complete, the document goes out on its own.

  • Temporary and permanent errors are tracked separately, and each document shows its retry count and last error
  • Retry a document or check its status, or requeue several documents at once
  • Documents that wait too long trigger a warning notification once a day

02

Catch errors before the document goes out

Errors such as a missing HS code (GTİP) or missing Incoterms on an export invoice surface before the document reaches your customer. IWB checks each document against the rules GİB publishes before sending it, and by default a document that fails waits without taking a number. On a draft invoice, each issue is marked as a Blocker or a Warning and grouped by where you fix it: in settings or on the document itself.

No wasted numbers

The e-document number is assigned on the first send, and retries go out under the same number.

03

Test your invoices before you go live

For each of your companies, choose one of 4 GİB-licensed e-invoicing integrators (özel entegratör): EDM Bilişim, TürkKEP, Veriban, or BirFatura. The integrator applies the financial seal (mali mühür), your integrator password is stored encrypted, and test and live environments stay separate. When a document is sent, IWB asks the integrator whether the customer is registered for e-Invoice and sends it as an e-Invoice or an e-Archive invoice accordingly.

  • When you test the connection, IWB compares your company's tax ID (VKN) with the one on the integrator account
  • Test mode is on by default, and test documents don't reach GİB

04

Answer incoming e-Invoices within the 8-day window

Under the commercial invoice scenario, you have 8 days to accept or reject an incoming e-Invoice, and the document shows how many are left. Your response goes back through the integrator, and you link the document to the vendor and purchase order to turn it into a purchase invoice. With EDM and Veriban, IWB checks the inbox every hour; with the other integrators, you import the incoming invoice file.

Objecting under non-commercial scenarios

The e-Invoice system has no accept or reject response here. You object by notary, registered mail, telegram, or KEP (registered email), and the method you used is recorded.

05

Don't retype the shipment for the e-Waybill

Send the e-Waybill from the shipment document, and IWB checks whether the recipient is registered for e-Waybill; if not, you can continue with a paper waybill. Each e-Waybill needs at least one of the carrier name, vehicle plate, or driver name, plus the province, district, and postal code of the delivery address. Sending e-Waybills and receiving them in the inbox work only with the Veriban integrator.

  • If transport details are missing, the document waits and no number is used
  • The recipient's response updates the shipment's delivery status, and with no response in 7 days, the waybill is treated as accepted
  • Incoming e-Waybills are matched to goods receipts and don't create stock movements themselves

06

Print copies in your own invoice design

IWB produces e-Invoice and e-Archive copies from your company's invoice design, with a QR code that follows GİB's QR Code Standard and the total written out in words. The integrator's sealed copy is archived as well. For any period you choose, download the document files, PDF copies, and recipient responses in a single ZIP file with a contents list.

  • Preview a document as a PDF or an image
  • Missing copies are listed separately in the archive
  • Export the outgoing list to Excel or CSV

07Document flow

Sending the e-document isn't a separate step

Each invoice you issue enters the e-document queue, and IWB checks it against GİB rules before sending. The e-document number is assigned on the first send, and the integrator applies the financial seal.

09Capabilities

What you can do with e-Invoicing

  • e-Document number

The 16-digit number is assigned on the first send, with no gaps in the sequence. You can use a separate series for each branch.

  • e-Archive cancellation

You can cancel an e-Archive invoice within 8 days, and IWB sends the cancellation to the integrator. After that, IWB points you to a return invoice.

  • Past e-Invoices

Bring past incoming and outgoing e-Invoices over from your EDM archive, and pause the import if you need to.

  • Paper invoice warning

IWB warns you when you manually enter a paper invoice from a vendor registered for e-Invoice.

  • Purchase returns

A return to a vendor is queued as an e-Invoice with the Return invoice type.

  • Setup checklist

A 6-step readiness check shows what's missing, and "Fix" takes you to the right field.

  • Credit alerts

IWB checks your integrator credits, and on EDM and TürkKEP it warns you when the remaining count drops below the threshold.

  • IWB AI

Sends e-documents from invoices, checks taxpayer status, and retries documents. It asks for your approval before doing any of these.

10Compliance

Let IWB track GİB rules and legal deadlines

IWB generates each document with GİB code lists, and the integrator applies the financial seal. The response window on an incoming invoice counts down on its row in the list. A warning lets the record go through, while a blocker holds the document without assigning a number.

  • UBL-TRThe e-Invoice format set by GİB. IWB generates the document with GİB code lists and checks it against GİB rules before sending.
  • TTK 21/2Under the Turkish Commercial Code (TTK), a commercial-scenario invoice not answered within 8 days is treated as accepted. IWB shows the time left in the list.
  • VUK 231/5Under the Tax Procedure Law (VUK), if a shipped line isn't invoiced within 7 days, the pre-send check warns you, and the invoice can still be issued.
  • VUK 353/1IWB warns you when you enter a paper invoice from a vendor registered for e-Invoice.
  • VUK 253, TTK 82e-document copies aren't deleted during the legal retention period, and a deletion request is answered with a notice that the document is retained.

Frequently asked questions

Is IWB itself an e-invoicing integrator?

No. IWB generates the document, and the integrator you choose applies the financial seal and sends it to GİB. You sign the contract with the integrator and connect your account in e-Document settings.

Which integrators does IWB work with?

EDM Bilişim, TürkKEP, Veriban, and BirFatura. With EDM and Veriban, IWB checks the incoming e-Invoice inbox every hour; with the others, you import the incoming invoice file. e-Waybills work only through Veriban.

Does IWB file the e-Ledger too?

No. You prepare and download the e-Ledger and berat files (the summary files GİB approves) in Accounting. They aren't submitted to GİB from within IWB.

Can I cancel an incorrect invoice?

An e-Invoice that has reached GİB can't be canceled from IWB. You correct it with a return invoice, and under the commercial scenario the customer can reject it. An e-Archive invoice can be canceled within 8 days, and IWB passes the cancellation to the integrator.

Can I try it before going live?

Yes. Test mode is on by default: test documents go to the integrator's test environment, don't reach GİB, and appear in the list with a TEST badge. You switch to live in settings.
