Filters and saved views

Stop rebuilding the same filter every morning

Filter a list once and save it as a view, and it waits in your sidebar the next day. Share the view with your team, and everyone at your company works from the same filters.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

See big or hot opportunities together

You don't need two lists side by side to find the opportunities that matter most. Pick conditions field by field, and join some of them with "or" in a bracketed group. The list then shows open opportunities with a probability above 70% or expected revenue above 500,000. Each group has its own and/or, and groups nest up to two levels deep.

  • Use empty or filled-in fields as conditions too, such as "Expected close date is empty"
  • Right-click a condition to move it into a new group or another group
  • Find a field in a long list by typing its name
  • Use "Hide" to fold the chips away, and the button keeps the condition count

02

Type what you need, and IWB AI builds the filter

You don't need to know which field takes which condition. Type a sentence like "late orders still waiting to ship" in the filter menu box, then choose "Filter with AI". IWB AI turns it into conditions using the list's own fields, the conditions appear as chips, and you can change any of them.

  • IWB AI only uses fields that exist on that list and doesn't make up fields
  • Phrases like "past the promise date" become conditions based on today's date
  • The "Applied to list" line in the chat shows how many conditions were applied
  • A new sentence replaces the filters already on the list

03

Build the list, and your whole team can use it

Every sales rep on your team finds the same list in their own sidebar. After you build the filter, name it with "Save view" and turn on the "Share with team" switch. Only you can edit or delete the view, and each person sees only the records their permissions allow.

  • When you customize the sidebar, views shared by others show who shared them
  • Delete a shared view and it disappears from everyone's sidebar
  • On lists such as quotes, orders, opportunities, and service orders, each view shows its record count
  • Change a view's name, icon, and sharing later

Find the right records in a few clicks

  • Conditions that fit the field

Pick conditions that suit the field type, such as "contains" for text, "between" for dates, and "greater than" for numbers.

  • Several values at once

Check two or more values in select and record fields. The chip reads "is any of", and the remaining values show as a count.

  • Filter by name

Filter by a word in the customer or vendor name instead of picking each one, such as "Customer contains Municipality". This works on quote, order, invoice, and purchasing lists.

  • Search inside the filter

Use the magnifier to search within the filtered list. The search stays in the address bar and goes along when you share the link.

  • Filter by custom fields

Custom fields you mark as "Filterable" show up as fields in the filter menu.

  • Landing view

Choose which view a list opens with when you open it from the sidebar.

  • Your own order

In the "Customize sidebar" window, drag views into your own order and hide the ones you don't use. The layout only changes your screen.

  • Saved views in reports

Save a report's filters and settings as a view too, and share it with your team if you like.

Frequently asked questions

Can a teammate change a view I shared?

No. Only the person who created a view can edit or delete it. Others can hide a shared view in their own sidebar, and that doesn't touch your layout.

Does a shared view show everyone the same records?

A view carries filters, not records. Everyone who opens it sees only the records they have permission to see. With several companies, a view stays on the list of the company it was saved in.

Is quick search saved with the view?

No. Quick search is a temporary narrowing, and the view saves your filters. The search stays in the address bar, so if you share the link, the list opens with the search.

Does a date filter move forward each month on its own?

The date you enter in a filter stays as it is, so a range you set for "this month" shows the same days next month. The "Overdue for invoicing (7 days)" condition on orders and the "Closing this month" view on opportunities are recalculated against today whenever you open them.

Is "Filter with AI" available on every account?

It appears in the filter menu on accounts with IWB AI turned on, as long as the "AI Chat pill" setting under Interface stays on. Your sentence opens in the IWB AI panel on the right, and IWB AI applies the conditions to the list. It doesn't build a filter for criteria the list has no field for.
