Notifications

Know when an approval or a due date needs you

Wherever you are in IWB, the bell shows documents awaiting your approval and tasks assigned to you. With the Focused preset, what directly involves you arrives as a separate email, and task and activity traffic comes in the daily digest.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

Find yesterday's alert again today

Come back to a notification you read days ago. The bell shows your latest unread notifications, and your notification history sits in a list you can page through and search. Narrow the list to unread, read, or the module a notification came from, and mark a notification as read or unread from its row.

  • Filter by title, content, type, or received date
  • Mark selected notifications as read, snooze them, or delete them in bulk
  • Open the related record or copy the notification's title from the row menu

02

Let a notification come back when you have time

You don't have to keep a notification in mind until you have time for it. Snooze it for 1 hour, until tomorrow at 09:00, or until next Monday at 09:00, and it leaves the bell's unread list and count. It comes back as unread at the time you picked.

  • The bell offers 1 hour and Tomorrow 09:00, and the list adds Next Monday 09:00
  • Pick a date and time up to 30 days ahead
  • Snooze several selected notifications together
  • Unsnooze whenever you like

03

Get approval emails and let the rest wait

Let only the notifications that can't wait reach your inbox. For each source, choose whether email never comes, comes with every notification, or waits for the daily digest. A choice set for a type overrides its source, so you can turn off Approvals and still get email for documents awaiting your approval.

  • Pick a digest time between 5:00 AM and 12:00 PM, in your workspace time zone
  • The digest email counts your overdue items and those due today and tomorrow in My work, plus the notifications held for it
  • Turning email off keeps your source and type choices

Trim your notification list

  • Bell and count

The bell in the top bar shows your unread count. Open it to see the latest unread notifications, or switch to All to include read ones.

  • Home screen badges

The badges on the Notifications, Approvals, and My work tiles count your unread notifications and the work waiting for you.

  • Read without opening

When the text says enough, mark a notification as read from the bell without opening the record.

  • Clear read

Delete all read notifications at once, and the related records aren't affected.

  • Unread isn't auto-deleted

Your settings show how long read notifications are kept, and unread notifications aren't deleted automatically.

  • Three presets

Focused, All, or Custom: when you haven't set a source or type, the preset decides whether you get an email.

  • Support email

Support tickets assigned to you and customer replies can also come by email, with a separate switch.

  • Approaching due dates

Get notified as due dates near on tasks you're responsible for. Choose up to 3 lead times: 1, 2, 3, 7, 14, or 30 days.

Frequently asked questions

Can I turn off the notifications under the bell?

The bell is always on, because a missed approval holds up the document. Email is the part you set: for each source, choose never, every notification, or the daily digest.

How do I hear about notifications when IWB isn't open?

Notifications appear in IWB, under the bell and in the notification list, and the bell's count refreshes every minute. To hear about them while IWB isn't open, turn on email notifications. Emails go out if your workspace has a sending mail server set up for notification emails.

Are read notifications deleted?

Your notification settings show how long read notifications are kept. Unread notifications aren't deleted automatically. You can also clear read notifications yourself at any time.

Will I see notifications for records I can't access?

IWB shows notifications linked to tasks, activities, and employee records based on whether you can see the record right now. If you can no longer see the record, you won't see its notification either, and it reappears if your access comes back.

Which notifications does the Focused preset email?

You get a separate email when a document awaits your approval or a task or comment is assigned to you. The same goes for mentions, your overdue tasks, reminders you set, and tasks a customer reports as done in the portal. The rest of the task and activity traffic goes into the daily digest if you've turned it on. Support email follows its own switch, and other notifications don't send email with this preset.
