Requirements PlanningMRP

Stop guessing what to order and when

See which materials to buy or make and by which day, along with open orders whose dates no longer fit the need. Requirements planning (MRP) shows where every suggestion comes from, and the ones you approve become requisitions, production orders, or transfers.

Runs in your browser. In the cloud or on your own server, it's the same IWB.

01

Know the latest day to place each order

The suggestion list shows, for every item, the latest day to place the order or start production. IWB works it out from the need-by date by subtracting the purchase or manufacturing lead time and the safety days. Suggestions past that day are flagged as overdue, and purchase suggestions show which rule picked the vendor.

  • Have IWB pick the vendor by default vendor, lowest current price, or performance score
  • Minimum order quantities and order multiples are applied to the suggested quantity
  • A purchase suggestion with no vendor set up shows in red
  • Choose a horizon from 30 days to 1 year, in days, weeks, or months

02

See the reason behind every suggestion

Open a suggestion to see the item's period breakdown: opening stock, gross requirement, scheduled receipts, net requirement, and the suggested quantity. Below it, IWB shows which sales order, production order, project, or safety stock the requirement comes from and which open document covers it. Stock in quarantined or blocked lots doesn't count, and the deducted quantity is shown.

  • Safety stock is a floor, not demand: IWB plans so stock doesn't drop below it
  • Requirements covered by a draft document are listed apart from those covered by an approved one
  • Periods with no activity collapse into one row that you can expand
  • The full report also covers items that have no suggestion

03

Fix order dates that no longer fit the need

Before it suggests anything new, IWB matches your open orders and production orders to demand, date by date. It suggests expediting an order that will arrive too late, deferring one that will arrive well before it's needed, and canceling one that covers no demand. With your approval, the new date is written to the document, and the change shows on its timeline.

  • Expedites are suggested even when they're short, but deferrals of up to 7 days aren't
  • If the shift exceeds 30 days, IWB suggests canceling and opening a new order instead
  • Documents that are past their date and still open are listed separately
  • In manufacturing, only draft, unscheduled orders are moved

Approved orders don't change without a trace

Changing the date on an approved document is a separate permission from turning suggestions into documents, and it also needs edit rights on the document itself. If the document changed after the suggestion was made, IWB won't apply the outdated suggestion.

04

Don't buy again what's sitting in another warehouse

When you plan by warehouse, IWB calculates each warehouse's needs separately. It covers a shortfall first from the replenishment warehouse set on the warehouse record and suggests a warehouse transfer. If none is set, IWB suggests transferring as much as another warehouse has available, and the rest becomes a purchase or production suggestion.

  • Goods in transit and draft transfers count as supply
  • Stock in quarantined or blocked lots or at a subcontractor's warehouse isn't used as a transfer source
  • Transfer suggestions are grouped into one draft transfer order per source and destination pair
  • Purchase suggestions are grouped into one draft requisition per warehouse

05

Don't let incomplete item records quietly break the plan

IWB lists items with a missing lead time, BOM, or supply source in order of severity. Planning blockers, assumption-based items, and notes sit in separate groups, and each check tells you what to fix. You fix missing lead times, safety stock, and order multiples on the items you select, all at once.

  • An item that can't be made or bought shows up as "Not plannable" in the suggestion list instead of being skipped
  • 17 checks across planning, purchasing, manufacturing, and CRM data
  • Bulk editing is a separate permission, and fields your role can't edit don't appear
  • Checks with findings are also listed on your planning dashboard

06

See materials early for work you're about to win

Demand doesn't only come from sales orders and production orders. Materials planned in a project budget count as demand, minus what's already been issued to the project. If you turn on the setting, quote lines on open CRM opportunities are added, weighted by probability: 250 panels on a 60% opportunity count as 150.

  • The forecast is off by default, and opportunities below the probability threshold (50% by default) are left out
  • Accepted or expired quotes aren't included in the forecast
  • The share that comes from the forecast is shown separately in the period breakdown
  • If you turn on the master production schedule, your period commitments count as demand too

07Document flow

Stop keeping a spreadsheet between sales and purchasing

The components of the production order behind a confirmed sales order become demand, and MRP lists the missing materials as purchase suggestions. A suggestion you approve becomes a draft purchase requisition, and once the requisition is approved, it turns into a vendor order.

Ask when a material will run out

Ask about the latest run's suggestions, items that can't be planned, or the week a material's balance goes negative. IWB AI only reads in this module, and turning a suggestion into a document stays with you.

See how IWB AI works

IWB AI doesn't run requirements planning, turn suggestions into documents, or change the date on an open document.

Answers your questions

  1. Which materials are we late to order?

    IWB AI
    Loading MRP suggestions

Three materials are late to order: Aluminum coil 0.5 mm, PE core 3 mm, and Screw M6. Four open documents are also past their dates.

  2. When will Aluminum coil 0.5 mm run out?

    IWB AI
    Calculating stock projection

It runs out this week: the Oct 20 – Oct 25 period closes at −2,060 m². Only 640 of the 2,600 m² on hand is available.

  3. Which open orders should be expedited?

    IWB AI
    Loading MRP suggestions

1 order should be expedited: PO-2026-00105, Powder coating RAL 7016 (60 kg open). It's dated 11/6/2026 but needed 10/27/2026.

In this module, IWB AI only looks things up: it doesn't create or change records.

09Capabilities

What you can do with Requirements Planning

  • Full report

See the period breakdown of every item with activity, sorted by BOM level, even when it has no suggestion.

  • Stock projection

See an item's balance period by period on its product record, and the first period it goes negative or drops below safety stock.

  • Master production schedule

Turn it on in settings to record production commitments by product and period. You choose whether a commitment absorbs sales orders or adds to them.

  • Delivery promise

When you ask for a promised delivery date on a sales order line, IWB checks available stock, available-to-promise (ATP), and capable-to-promise (CTP), in that order.

  • Min/max planning

Plan consumables without dates: when stock falls below the reorder point, IWB tops it up to the maximum level.

  • Separate permissions

Viewing the plan, running it, turning suggestions into documents, and changing dates on approved documents are separate permissions.

  • Runs per company

Each run is made for your primary company and only counts that company's orders and stock.

  • IWB AI

Ask about late orders, documents to expedite, or when a material will run out. IWB AI only reads in this module.

Frequently asked questions

Does IWB place purchase orders on its own?

No. IWB prepares suggestions, and you open the documents. The suggestions you select become draft purchase requisitions, draft production orders, or draft warehouse transfer orders. Submitting requisitions for approval and ordering from vendors stays with your purchasing team.

What happens if I convert the same suggestion twice by mistake?

No second document is opened. A converted suggestion is marked, and if you try again, IWB tells you it was already applied. If some suggestions can't be converted, IWB reports how many documents were opened and which items failed and why.

When does requirements planning run?

When you run it. Each run is saved under its own number as a snapshot, so you can open an older run and see that day's suggestions. Your planning dashboard shows how many days ago the last run took place.

Does it take capacity into account?

No. Requirements planning calculates material needs and doesn't look at work center load. You track capacity load and scheduling in Manufacturing.

Are sales opportunities included in demand?

Yes, if you turn on the setting. Valid quote lines on open opportunities are weighted by probability, and the default threshold is a 50% probability. The forecast is off by default, and its share is shown separately in the period breakdown.

Does stock waiting for quality approval count?

No. Stock in quarantined or blocked lots can't leave the warehouse, so planning doesn't count it, which may be why a suggestion appeared. The deducted quantity shows in the suggestion's breakdown. Once the stock is released, the suggestion shrinks or goes away in the next run.
