We've gathered every question from across the site here, grouped by topic. If you don't find your answer, we can go through it together in a demo.
01
General
What is IWB?
IWB is a web-based ERP you use in your browser. More than 25 modules, including Sales, Accounting, Field Service, and Laboratory, run on the same database. Use it in the cloud or install it on your own server.
Cloud or my own server?
You get the same IWB either way. In the cloud, we set up your workspace at a dedicated address for your company and take care of updates. On your own server, your data stays on your infrastructure. You install IWB with our team, and we agree on the update schedule together.
How do e-Invoices, e-Archive invoices, and e-Waybills work?
IWB prepares each document itself, in the format set by the Turkish Revenue Administration (GİB). For e-Invoices and e-Archive invoices, you choose a GİB-licensed e-invoicing integrator (özel entegratör): EDM, BirFatura, TürkKEP, or Veriban. The integrator signs each invoice and sends it to GİB. IWB sends e-Waybills through Veriban. Incoming e-Invoices reach IWB automatically through EDM and Veriban; with the other integrators, you upload the file yourself.
We're on IWB Classic. How do we move to the new IWB?
Our team moves your data to the new IWB. First comes a trial migration that doesn't write any records. After the live migration, we compare the old and new systems by record counts and amounts. We plan the timeline with you in the demo meeting.
What does the AI do with my data?
IWB AI reads only the records you're allowed to see. Before it creates or changes a record, it shows you what it's about to do and asks for your approval. Nothing is saved until you approve.
What languages is IWB available in?
The interface is available in 6 languages: Turkish, English, German, French, Russian, and Kyrgyz. Each user picks their own.
02
Product and modules
How the modules work together, configuration, reports, and exporting your data.
Do we have to move data between modules?
No. All modules run on the same database and share customer, vendor, and product records. A quote becomes an order and the order becomes an invoice; your accountant previews the invoice and posts it as a journal entry.
Do I have to buy every module at once?
No. Start with the modules you need and turn on the others later. We'll work out the scope with you during your demo.
Can we install it on our own server?
Yes. The same IWB runs in the cloud and on your own server. You install it together with our team, and the license is validated on your server without an internet connection.
Can we add our own fields?
Yes. Your admin can add custom fields and formulas to 35 record types without writing code. You can then use a new field as a column, filter, or sort option in lists.
Which modules come with built-in reports?
IWB has 40 built-in reports in 7 groups: Contacts, CRM, Inventory, Field Service, Sales, Tasks, and Laboratory. You can download any of them as Excel or CSV. In other modules, you use the Overview dashboard and your saved list views.
Is IWB a new version of IWB Classic?
No. IWB is a new ERP, built from scratch and launched on October 14, 2026. If you use IWB Classic, our migration page covers the timeline and the migration steps.
What technology does IWB run on?
IWB runs in the browser, so there's nothing to install on your computers. Each company's data is kept apart in both the application and the database. A security check runs every time IWB starts; if the check fails, IWB doesn't open. If you plan to install IWB on your own server, we share the system requirements with your IT team during the quote process.
Can we use it on phones and tablets?
Yes. IWB runs in the browser, and its screens adapt to phones and tablets. Technicians install the IWB Technician app on their phones from the browser. It keeps logging work when the connection drops and sends it once the connection is back. IWB isn't in the app stores, and it doesn't send push notifications.
Can we export our data?
Yes. You can download built-in reports as Excel or CSV. You can also export lists such as contacts, products, projects, and e-documents; what you can export depends on the list. If you run IWB on your own server, the database stays on your server too.
Does it run payroll?
No. Human Resources covers employee records, attendance, leave, and requests. Payroll calculation is outside its scope, and the employee record has no salary field. You export attendance as a CSV file and load it into your payroll software. For project costing, you can enter monthly payroll costs in Projects with a separate permission.
03
Cloud and your own server
Workspace address and custom domain, updates and backups, licensing, and system requirements.
What's the difference between web-based and desktop ERP?
Desktop ERP is installed and updated on each computer separately. With web-based ERP, you work in the browser, and updates happen once, on the server. IWB was built for the browser from the start, and its screens adapt to phones and tablets too.
Can I sign up for a free trial?
No, we set up your workspace for you. First, we learn about your needs in a demo meeting and walk you through IWB using your own workflow. Once you approve, we handle the setup and give your teams hands-on training.
Can we change our workspace address?
Yes, once every 30 days. The old address redirects to the new one for 30 days. An address must be at least 3 characters long and can contain lowercase letters, numbers, and hyphens.
Can we use our own domain?
Yes. You can run IWB on your own domain, such as erp.yourcompany.com. It comes as an add-on package. Your IT team makes two small changes, and the rest happens automatically.
Where can we track maintenance and outages?
You can follow them on our public status page at status.iwb.com.tr. It shows the status of the application, sign-in, and workspace access, along with past incidents. The sign-in screen links to it as well.
Can one user access more than one workspace?
Yes. The same email address can be a member of several workspaces. At sign-in, users land in the workspace they used last and can switch to the others from the menu.
What are the system requirements?
We share the system requirements and installation details with your IT team during the demo and quote process. We size the server with you based on your number of users.
Who handles updates? Are they automatic?
We agree with you on the update schedule and maintenance window for your installation. Automatic updates are optional. When they're on, a database backup is taken first, then the new version is installed and the system is checked to confirm it's running. If you stop automatic updates, no new versions arrive.
Does your team connect to our server?
No inbound connection to your server is opened for administration. If you turn on automatic updates, your server makes only outbound, encrypted connections. Operational information such as version, system health, disk, and backup status is then shared with our team. To install new versions, the automatic updater runs with privileged access on your server.
What happens if our license expires?
You keep access to your data. When the license expires, IWB keeps working fully during a grace period, with a warning banner on screen. After the grace period ends, you can't turn on new modules, but the modules you already use keep working.
Who takes care of backups?
Regular backups, and backups kept off the server, are your IT team's job. The database and files sit in the same data folder on your server; your team adds that folder to its own backup routine. If automatic updates are on, a database backup is also taken before every update, and the last 5 backups are kept on your server.
Can we run multiple companies and workspaces on our own server?
Yes. You can open multiple workspaces in your installation and set up multiple companies and branches in each one. Data separation between workspaces works the same way as in the cloud: data is kept apart in both the application and the database.
04
Security and personal data
Sign-in and access, third-party services, the audit trail, and where your data is stored.
Do you support two-factor authentication and single sign-on (SSO)?
Two-factor authentication is available. Users turn it on from their profile with an authenticator app and receive 10 single-use recovery codes. On your own server, you can make it mandatory for all staff accounts. Single sign-on (SSO) is not available. A password policy, account lockout after failed sign-ins, and an attempt limit protect sign-in. IWB also has a per-user device limit and session management. The Google and Microsoft connections are only for linking your mailbox to IWB.
Can your team see our data?
In the cloud, our team uses an admin panel for support and operations. Every change made from the panel is recorded in your company's Security Log as a "Platform operation"; reads from the panel are not logged. On your own server, no inbound connection is opened for administration.
Where does IWB AI send our data?
To generate an answer, IWB AI sends your question and the relevant records to its AI provider, OpenAI. The assistant works only with data you can see; fields hidden from your role are left out of the answer. The IWB AI section of our Privacy Policy explains what is and isn't sent and how data is transferred abroad.
Which third-party services do you use?
IWB AI uses OpenAI as its AI provider. Account emails such as invitations, password resets, and verification codes go out through Resend. Both services are based outside Turkey. A monitoring service runs the public status page, and no personal data goes to it. On your own server, these services stay off unless you turn them on. The full list, and how transfers abroad are handled, are in our Privacy Policy.
Can audit records be deleted?
IWB has no screen for editing or deleting the Security Log or the change log. A record's change history is deleted only along with the record itself. That happens when personal data is anonymized under KVKK, Turkey's personal data protection law, and when a file or task is permanently deleted. If a workspace is permanently deleted, these records are deleted with it.
Where is our data stored?
On your own server, both the database and the files stay on your server. For the cloud, we share the hosting details in writing at the contract stage.
05
Pricing and licensing
What sets the price, trials, adding modules later, and IWB AI packages.
Why aren't prices listed on your website?
Pricing depends on the number of users, the modules you turn on, your deployment (cloud or your own server), and any add-on packages. That's why we prepare a written quote once we understand your needs. Fill out the form and we'll email you a detailed quote.
Is there a free trial?
There's no self-service trial account. Instead, we show you IWB in a demo meeting, using your workflow and sample data, and then we set up your workspace.
Can we add modules later?
Yes. You start with the modules you need. Others can be turned on in your workspace later and work on the same database right away.
Is AI priced separately?
IWB AI comes in packages with different capacities. When we prepare your quote, we work out with you which package fits your usage.
How does licensing work on our own server?
Your installation is activated with a license file issued for you, and the license is validated on your server without an internet connection. If it expires, IWB keeps working fully during a grace period. After that, you can't turn on new modules, but the modules already in use keep working.
06
Moving from IWB Classic
Data migration and timing, your existing numbers and codes, archives, and using IWB Classic after support ends.
Is the new IWB an update to IWB Classic?
No. As announced on October 14, 2026, the new IWB is separate software. So we don't update your existing installation; we move your data into the new IWB.
Can we keep using IWB Classic after support ends?
Yes. You own your IWB Classic license, so you can keep using the software, but we don't recommend it. After November 30, 2026, IWB Classic won't be updated for regulatory changes and won't receive security patches. Storing and backing up the data on your own servers will also be your responsibility.
Who handles the migration, and how long does it take?
Our team runs the migration. How long it takes depends on the size of your database, the volume of attachments, and the reconciliation results, so we don't quote a fixed duration. We share our measurements with you after the trial migration.
Can we migrate while we keep using Classic?
Yes. The migration can be rerun, and each run processes only the records that changed. If you've corrected a record by hand in the new system, the migration doesn't overwrite it; it reports a conflict instead. Records deleted in the source also show up in the report.
Will we keep our old invoice numbers?
Yes. Invoice numbers, customer and vendor codes, product codes, and employee numbers carry over unchanged. Quotes, orders, and purchasing documents get new number series, with the old number kept in the document note. The new series start at a point that won't clash with the old numbers.
What happens to our e-Ledger and e-Invoice archive?
Ledger certificate (berat) IDs and line numbers carry over to the new IWB. Signed e-Ledger files, your electronic statutory books, stay behind; for legal retention, you need to archive them on your old server. If you use EDM as your integrator, past e-Invoices can be pulled from its archive.
How does migration work if we install the new IWB on our own server?
Our team runs the migration in this case too. We map out the plan with you in a meeting.
07
By module
Short answers to the questions buyers ask about each module. You'll find the details on each module's page.
CRM5 questions
- What's the difference between a lead and an opportunity?
- A lead is an inquiry you haven't qualified yet, and you work it from a queue. An opportunity is a sale in progress, with an amount and a stage. When you qualify a lead, an opportunity opens from it, and the lead stays in the list as "Converted."
- Can the same customer be entered twice?
- If the tax ID, national ID number, phone, or email matches, IWB stops the save; a similar company name only triggers a warning. Duplicate leads are blocked up front, and you can merge two contact records that already exist.
- How do I bring over my existing customer list?
- Import your contact records with an Excel or CSV template, up to 5,000 rows per file. You see a preview before anything is saved. Column headings from Logo and Mikro, two Turkish accounting packages, are recognized too.
- Can sales reps see only their own records?
- Yes. You decide who sees which records with roles and record rules. Users with the built-in Sales role see only their own leads, opportunities, quotes, and contracts, but all of the company's contact records. Leads without an owner wait in the pool, and claiming one takes a separate permission. You can also mask fields such as the tax ID in a role.
- Can I send email campaigns or WhatsApp messages?
- No. IWB CRM is built around leads, opportunities, quotes, and customer records. There's no campaign module, and CRM doesn't send WhatsApp or SMS messages. You log calls, meetings, and emails as activities on the record.
Sales6 questions
- How does a quote become an order?
- You convert an accepted quote into an order. Lines, exchange rates, and VAT rates carry over as they are, and the order opens as a draft. A quote can be linked to only one order at a time, and a second order can't be opened unless the first is canceled.
- Can I ship and invoice an order in parts?
- Yes. You can ship an order in several shipments, invoice it in parts, and combine lines from different orders on the same invoice. The remaining quantity stays visible on the order.
- Can I issue invoices in foreign currency?
- Yes. IWB saves the exchange rate and its source on the document. If you change the invoice date, IWB refreshes the rate and warns you. If there's no rate for that day, the foreign-currency invoice isn't issued.
- Do I need separate software for e-Invoices?
- No. IWB generates the document: an e-Invoice if the customer is registered for e-invoicing, or an e-Archive invoice if not. Your chosen integrator (EDM, BirFatura, TürkKEP, or Veriban) delivers it to GİB.
- Can my warehouse team see sales prices?
- Not unless you want them to. Order amounts need a separate permission, and you can hide line prices, discounts, and VAT, or make them read-only, by role.
- Can my customers see their shipments?
- Yes. In the customer portal, your customers see their own shipments and waybills. Quotes and invoices aren't available in the portal.
Accounting5 questions
- Does IWB submit the e-Ledger?
- No. For a closed month, IWB generates the journal, general ledger, and certificate files in the format GİB sets, and you download them. Your integrator or external accountant submits them.
- Does it prepare the VAT return?
- It prepares draft reports, and the official return is filed outside IWB. The KDV1, KDV2, stamp tax, and withholding tax (Muhtasar) reports are compiled from your documents. The KDV1 and KDV2 screens say "This screen isn't the official return," and the stamp tax and withholding reports say "This report is a draft." The VAT closing entry and the VAT carried forward are posted to the ledger.
- How do I work with my external accountant?
- Export the period's journal lines as a general CSV file and send it to your external accountant. Each file holds up to 50,000 lines, and a larger period is split into parts. There's no export template for any specific accounting program.
- Can I keep the books in a foreign currency?
- The books are kept in Turkish lira (TRY). Documents carry their own currency and exchange rate, the trial balance can show an FX balance column, and the statutory FX revaluation is done at period end.
- Can I keep statutory and management ledgers separately?
- Yes, you turn it on in settings. For each document you choose the target ledger (statutory, management, or both), and only users with a separate permission can see the management ledger. It is off by default, and there is no full IFRS reporting.
Finance5 questions
- Does IWB connect directly to my banks?
- No. Bank transactions and balances come in through Finekra, a Turkish bank connectivity service, so your company needs its own Finekra account. If you don't use Finekra, you upload an MT940 or CSV statement from your bank.
- Does IWB send payments to the bank?
- No. A batch payment instruction opens draft payment vouchers and produces a CSV file (IBAN, payee name, amount, description) for you to upload to your bank. You send it through your bank's own channel and post the vouchers once the money has left.
- How are FX differences handled on foreign-currency accounts?
- Realized FX differences are recognized with an FX difference note when items are matched. Where an invoice is required, IWB prepares a draft FX difference invoice. If it's unclear whether one is needed, no draft is created and the decision stays with your accountant (SMMM). At period end, foreign-currency positions are revalued at the official rate.
- Do corporate credit card statements come in automatically?
- No. You import the corporate card statement from an Excel or CSV file using a saved column-mapping profile, and its lines are matched to spending.
- How do employees enter expense receipts?
- They open the camera from their phone's browser and photograph the receipt, with no separate mobile app to install. If IWB AI is turned on and the receipt can be read, the fields fill in as a draft, and the entry is still saved only when the employee confirms it.
e-Invoicing5 questions
- Is IWB itself an e-invoicing integrator?
- No. IWB generates the document, and the integrator you choose applies the financial seal and sends it to GİB. You sign the contract with the integrator and connect your account in e-Document settings.
- Which integrators does IWB work with?
- EDM Bilişim, TürkKEP, Veriban, and BirFatura. With EDM and Veriban, IWB checks the incoming e-Invoice inbox every hour; with the others, you import the incoming invoice file. e-Waybills work only through Veriban.
- Does IWB file the e-Ledger too?
- No. You prepare and download the e-Ledger and berat files (the summary files GİB approves) in Accounting. They aren't submitted to GİB from within IWB.
- Can I cancel an incorrect invoice?
- An e-Invoice that has reached GİB can't be canceled from IWB. You correct it with a return invoice, and under the commercial scenario the customer can reject it. An e-Archive invoice can be canceled within 8 days, and IWB passes the cancellation to the integrator.
- Can I try it before going live?
- Yes. Test mode is on by default: test documents go to the integrator's test environment, don't reach GİB, and appear in the list with a TEST badge. You switch to live in settings.
Contracts5 questions
- Does every contract have progress billing?
- No. Progress billing is a field group you turn on in the contract type settings. It's off in the built-in types, so you turn it on for the types that need it.
- Does IWB calculate price escalation in progress billings?
- No. The price escalation basis is stored on the contract as text, and progress billings don't calculate it.
- Are recurring invoices issued automatically?
- By default, the schedule creates draft invoices and you issue them. If you want automatic issuing, turn it on per schedule. The same period can't be invoiced twice.
- Can I create a contract from a quote?
- No. Quotes and opportunities don't convert into contracts. You create the contract separately and link it to an existing quote, order, or invoice. In the other direction, you can create quotes and orders from the contract lines.
- How do I keep track of contracts that are ending?
- By default, you get an alert 30 and 7 days before the end date. You set the threshold, and an alert can also open a task. Contracts past their end date that are still active show on the dashboard's "Ended but active" card.
Fixed Assets5 questions
- Is the depreciation journal entry created automatically?
- Accounting creates it when you post the run. Posting is a separate permission, and before that you review the results line by line, by asset and by ledger.
- Does IWB set aside the non-deductible share for passenger cars?
- Yes. IWB calculates the deductible ratio from the annual cap and sets the excess aside as a non-deductible expense. The cap that applies is the one for the year the car was placed in service.
- Does IWB come with a useful-life list?
- Partly. IWB includes a representative part of the list in VUK General Communiqué No. 333, covering commonly used asset classes. It isn't the complete list.
- Can I record a sale or a loss?
- No. In the web app, scrap is the only disposal you can record. For scrap, IWB calculates net book value and the loss for each ledger, and posting is a separate permission.
- Is there real estate or lease management?
- The real estate card holds the title deed, block, and parcel details, along with mortgage and appraisal records. There's no separate property or lease management module.
Inventory5 questions
- Does it work with barcode scanners?
- Yes. A barcode scanner works like a keyboard in the browser. Scan the barcode or bin code when picking, and the barcode or SSCC (Serial Shipping Container Code) on handling units. There's no separate handheld terminal app.
- Does IWB generate SSCC labels?
- No. Handling units get numbers from IWB's own code series. If you have pre-printed SSCC labels, enter the number in a separate field and scan it to find the package.
- Does it handle multiple warehouses and companies?
- Yes. You can share a product record with the companies you choose, while stock, costs, and movements stay separate for each company. A warehouse's type (subcontractor, quarantine, or custody) determines how its stock is counted.
- Which costing methods are available?
- Weighted average, FIFO, and standard cost. You can see stock value as of the date you choose, with the layer quantity and ledger quantity next to it.
- Can it print directly to a label printer?
- No. Label data is filled in with the product, lot, date, and weight, and downloads as a plain text file. There's no direct output in a specific label printer language.
Purchasing5 questions
- Are RFQs emailed to vendors?
- No. You send the RFQ to vendors yourself. You enter each vendor's quote as it comes in, and IWB compares them line by line.
- Is an invoice that doesn't match the order blocked?
- No. Matching the invoice against the order and goods receipt (three-way match) is informational. A variance shows as a "Variance" badge on the list, and IWB warns you about price variances, but the entry goes through.
- How does requisition approval work?
- If an approval flow is set up, each requisition line is approved on its own, and rejected lines are flagged. Once approval is complete, the requisition takes effect automatically. You set the tiers by amount, branch, and person.
- Do incoming e-Invoices arrive automatically?
- Yes, if you use EDM or Veriban: the inbox is checked every hour. With other integrators, you import the incoming invoice file. The same document isn't imported twice, and it's matched to the vendor by tax ID.
- Do freight and customs costs go into inventory cost?
- Yes. Freight and other costs you enter at goods receipt are allocated to the lines and added to inventory cost. For imports, you apply customs duty, freight, and brokerage fees to cost in Foreign Trade.
Foreign Trade5 questions
- Is Foreign Trade a separate module?
- No. It's the "Customs declarations" section of the Purchasing module. The section appears in the menu only for users with permission to view declarations.
- Does IWB send declarations to the customs system?
- No. You enter the declaration in IWB by hand and type in the registration number you get from customs. There's no connection to the customs system.
- Can I add costs later?
- Yes. Import invoices can arrive late, so you can add costs while the declaration is a draft or registered. But costs can be applied to stock cost only once, and that can't be reversed. A cost added after that doesn't reach stock.
- Can I track the repatriation of export proceeds?
- Yes. You track expected, received, and remaining proceeds in the declaration currency. The deadline is 180 days from the actual export date, and overdue declarations are flagged "Proceeds overdue." You enter İBKB and DAB details manually, and recording a collection doesn't close the proceeds automatically.
- Is a declaration linked to invoices and orders?
- The document flow links the declaration to the stock entry the goods arrived on. IWB doesn't link it to orders or invoices automatically.
Manufacturing5 questions
- Does MRP plan capacity too?
- No. MRP calculates material requirements. You track capacity load and finite scheduling in Manufacturing, on the "Capacity", "Station schedule", and "Planning board" screens.
- Does the shop floor screen work offline?
- No. The shop floor screen runs in the browser and needs a connection. If an entry is retried after the connection drops, it isn't recorded twice. Using the screen takes a separate permission, which is off by default.
- Can I track subcontracted production?
- Yes. You mark a work center as subcontracted and link the subcontractor's vendor account and warehouse to it. A draft subcontracting purchase order opens from the work order, and the goods receipt records the return from the subcontractor.
- Can everyone see my BOMs?
- Not if you mark them confidential. Users without permission can't see a confidential BOM's contents on the BOM card, in the tree, in exports, or on production order lines. Viewing them takes a separate permission, which is off by default.
- How do I give a customer a promise date?
- When you check availability on a sales order line, IWB looks at free stock first, then available to promise (ATP), then capable to promise (CTP). CTP takes the BOM's components into account and adds production lead time. Giving a promise date doesn't reserve stock.
Field Service5 questions
- Do technicians download the app from an app store?
- No. IWB Technician is a web app installed on the phone from the browser. It keeps logging work when the connection drops and sends it once the connection is back. On iPhone, Safari can't read barcodes with the camera, so you can use a handheld scanner instead.
- Can customers get SMS or WhatsApp notifications?
- Status links, quotes, and notifications for stages marked "Notify customer" can go out by SMS or WhatsApp. WhatsApp needs your own Meta account, an approved template, and the number owner's explicit consent. If there's no provider or no consent, IWB shows a clear warning instead of silently skipping the message. SMS and WhatsApp are off by default for stage notifications.
- Does IWB track legal deadlines for consumer equipment?
- Yes. The maximum repair period is counted in business days and shows as a badge in the list. As the threshold approaches, the manager gets a warning. The periods are parameters you can change, and confirming them is up to your organization.
- Can I manage a network of dealers and authorized service providers?
- Yes. You send jobs to the service points in your network. Warranty claims are priced with the tariff version in force on the repair date. At period end, IWB prepares the progress billing and confirmation statement. Dealers can't see your finance or inventory data.
- How are service invoices issued?
- The billable part of an order becomes a draft invoice in Sales, and the share covered by warranty or contract is deducted as a discount. An order can't close until it's invoiced, but you can close it without an invoice if you enter a reason.
Laboratory5 questions
- How does IWB help with ISO/IEC 17025 accreditation?
- IWB was designed around 17025 concepts such as deviating acceptance, report approval, and authorization to issue opinions. Entering results and approving them are separate permissions. Accreditation is your lab's own process, and the software alone doesn't make you compliant or certified.
- Does it connect directly to our instruments?
- No. You import results from the file your instrument produces (delimited text, fixed-width text, or Excel) using an instrument profile. IWB doesn't connect to the instrument live.
- Do regulatory limits come built in?
- No, regulatory limit values don't come built into IWB. You define your own limit sets with version, effective date, and official reference, or import them from a file.
- How can my customer check that a report is genuine?
- They scan the QR code on the printed report or type in the verification code. The page that opens needs no sign-in and shows report details such as the report number, revision, and approval time. Results don't appear on the page.
- How do I bill for analyses?
- Each analysis is added to your billable analyses list at the point you choose in the billing rule: when the sample is accepted, when the sample is approved, when the analysis is completed, or when the report is approved. If you set the rule to "Manual," you add the line yourself. You create the draft sales invoice from that list, and if the invoice is canceled, the line goes back to "Pending."
Tender Tracking5 questions
- Does it pull notices from EKAP automatically?
- No. Tender Tracking isn't a notice service; it keeps the file for each tender you take part in. Notices come into the inbox (you turn it on in settings) from a folder in your own mailbox, or you enter them by hand. Nothing is pulled from EKAP, Turkey's Electronic Public Procurement Platform. Once you enter the tender registration number (İKN), you get an "Open in EKAP" link.
- Can I prepare the bid schedule here?
- Yes. Open a bid round on the tender, then enter items in the unit price schedule or import them from Excel. Enter a unit cost and unit price for each item, and the total cost, bid amount, and margin appear automatically. A multi-lot tender also shows lot totals. You get a warning if the bid amount falls below the price floor you set on the tender, above the ceiling, or below the abnormally low threshold or your cost. IWB doesn't calculate the threshold, and the warning doesn't stop you from saving. Marking a bid "Submitted" doesn't send it to the contracting authority. It records that the bid went in and locks the round, so any change takes a new round. A best and final offer (BAFO) round is available in profiles with multi-round bidding turned on, such as private-sector requests for bids. The bid letter is a draft; the official form is in the authority's tender documents. Price columns take a separate permission.
- Does it calculate price escalation?
- No. IWB uses the Yİ-ÜFE series only to index work experience certificate amounts. The contract and progress billing for work you win are handled in Contracts.
- Can everyone see the estimated cost?
- No. Seeing the estimated cost, your bid price, and competitors' bid amounts takes a separate permission. Users without it don't see those fields at all, and IWB AI follows the same rule.
- What happens when we win a tender?
- For each lot you win, you record the contract value, currency, performance bond, and signing deadline. You then hand the lot off to a draft sales order or a project. Schedule lines linked to products can also go to a draft production order, and laboratory work can go to a sales quote. The handoff trail stays on the tender, and you open the contract and its progress billing in Contracts.
IWB AI5 questions
- Does my data leave Turkey?
- The assistant sends your question and the results it read to the AI provider configured for your installation. If that provider is outside Turkey, this is a cross-border data transfer. Fields hidden or masked for you are removed before anything is sent.
- Does the assistant act on its own?
- No. It reads records without asking, but creating, changing, or deleting a record always waits for your approval on an approval card. Once you approve, the action runs under the module's own rules and with your permissions.
- Which modules does it work in?
- It reads records and writes them with your approval in Contacts, CRM, Sales, Finance, Purchasing, Manufacturing, Contracts, Field Service, Help Desk, Tasks, Licenses, and e-Invoicing. In Projects and Tender Tracking, it only reads, and with tender notice extraction you create the tender record yourself. In Laboratory (LIMS), it only searches the catalog and creates laboratory quotes with your approval. It has no lookups or actions in Human Resources, the Accounting ledger, Fixed Assets, Expenses, Foreign Trade, or stock movements.
- Is there a usage limit?
- It depends on your plan. If your plan sets daily and monthly quotas, they apply, and you see remaining usage as a percentage along with the reset time. Once the quota runs out, you can't send new questions until it resets.
- Can I ask from WhatsApp or a mobile app?
- No. The assistant works in IWB's web interface: in the full-page chat, in the side panel on every page, and in the command palette. It has no WhatsApp, phone, or email channel, and no separate mobile app.
Tasks5 questions
- What's the difference between Projects and Tasks?
- Tasks tracks the work, who owns it, and when it's due. Projects handles budgets, time tracking, costs, and billing. Project tasks also live in Tasks and appear as a list on the project record.
- Which dependency types are available?
- Finish-to-start: a task can't be completed until the task it depends on is done. Dependencies show as arrows in the Timeline (Gantt) view. If you turn on date shifting in the list settings (it's off by default), you can preview how a date change affects dependent tasks. Other dependency types and critical path calculation aren't available.
- Does IWB create tasks for tax deadlines?
- Yes. For obligations such as VAT, the withholding and social security return, social security contributions, and provisional tax, IWB opens a task as many days before the deadline as you set. The settings list each obligation and show whether it's tracked.
- Can I import tasks from Excel?
- Yes. Download the template and import up to 5,000 rows from an Excel or CSV file into the list you choose. Exports go up to 10,000 rows and require a separate permission.
- Can I use it on my phone?
- Yes, in your phone's browser. The layout adapts to the phone: list selection opens on its own page, and toolbar buttons collapse into icons. There's no separate mobile app and no push notifications. Notifications arrive in the app and by email.
Human Resources5 questions
- Does IWB run payroll?
- No. Human Resources doesn't store wages or calculate payroll. You export attendance to your payroll program as a CSV. IWB calculates seniority and notice periods, not severance or notice pay.
- Does it connect to our time clock (PDKS)?
- Not directly. Paste your device's export as a CSV with employee number, date, hours, and overtime columns, and IWB lists any rows with errors.
- Does approved leave show up in attendance?
- Not automatically. Attendance is calculated from work schedules, public holidays, and hire and termination dates. You mark leave and sick days in attendance yourself.
- Does IWB file SGK notifications?
- No. IWB tracks the deadlines for hire and termination notifications and warns you, and you file them through SGK's own system. A hire notification counts as filed once you upload it to the personnel file, and a termination notification once you mark it complete on the offboarding checklist.
- Can employees see their own information?
- Yes. On the "My profile" page, employees see their own record, document status, work schedule, and manager. They can change only their contact details, emergency contact, and photo.
Help Desk5 questions
- How do my customers sign in to the portal?
- They don't need a password. They sign in with a one-time code sent to their email, and the code is valid for 10 minutes. You open portal accounts by inviting the authorized person on the contact record.
- Does the SLA follow business hours?
- No. The SLA clock runs on calendar hours, and there's no business-hours option. SLA is off by default until you turn on a policy.
- Can customers open tickets over WhatsApp or SMS?
- No. Tickets come in by phone, manual entry, email, and the portal. Your replies reach customers by email and through the portal.
- What happens if I need to send a technician on site?
- Open a draft service order or RMA from the ticket. The contact, product, serial number, and complaint carry over to the order. The ticket stays open, and the handover is logged on it.
- Is there a knowledge base?
- No. The portal is for opening and following tickets. It doesn't include a help center or knowledge base.
Projects5 questions
- Does IWB have Gantt charts and critical path analysis?
- You see project tasks in the timeline (Gantt) view in Tasks, with finish-to-start dependencies. The project list also opens in a timeline view. Critical path, resource leveling, and importing Microsoft Project files (MPP) aren't available.
- Do materials issued from the warehouse count toward project cost?
- No. Stock issues aren't posted to the project ledger, and the scorecard shows a "Stock materials not included" warning. Costs from purchasing and expense documents are posted to the project.
- How do I bill hours to a customer?
- In the time-and-materials model, approved hours become earned revenue and join the work ready to bill. IWB creates one draft sales invoice per customer from the rows you select.
- Where does the hourly cost come from?
- The hourly cost rate is calculated from the monthly payroll cost that you enter or import from Excel. IWB doesn't calculate salaries. If the exchange rate can't be found, the amount stays blank and no estimate is posted.
- Can I enter a progress percentage manually?
- No. Progress is calculated from the weights of the milestones reached. If no weights are entered, milestones count equally and the screen says so. Project health is the only indicator you set manually.
Licenses5 questions
- Does it track both the licenses we sell and the ones we use?
- Yes. You track licenses you sell to customers with their terms and renewals, and licenses your company uses with their assignments and compliance, on the same kind of record.
- Does issuing an invoice create a license automatically?
- No. A license opens with your approval. The licensed line on the invoice goes to the pending lines list, and when you approve it, IWB opens a new license or adds a term to an existing one.
- How do I prepare a renewal quote?
- Select the licenses to renew, and IWB builds a sales quote from each product's renewal pricing rule. A late renewal adds a late-renewal line to the quote. You can also open a CRM opportunity along with it.
- How are license keys protected?
- License keys don't appear in the list, stay masked on the license record, and open only with separate access. Every view is logged in the audit trail, and keys are left out of search results.
- Does it create accounting entries?
- The Licenses module doesn't create journal entries. It shows how fees collected up front spread across the months in accounts 380 and 480 (deferred income), and your accountant (SMMM) uses that table as the basis for the adjusting entry.

By industry
Industry scenarios and how IWB is set up for your industry.
Industries and configuration4 questions
- Do you install a special version of IWB for my industry?
- No. Every industry uses the same IWB. The difference lies in which modules you turn on and how the setup matches your workflow. IWB already includes modules for needs such as laboratory work, service networks, and tender tracking.
- My industry isn't on the list. Will IWB work for my business?
- The 6 industries listed are the scenarios we chose to highlight. Modules such as Sales, Accounting, Finance, and Inventory are available to any business. In the demo, we set up your workflow with sample data and show you how IWB handles your own work.
- Can we add industry-specific information to our records?
- Yes. Your admin can add custom fields to 35 record types without writing code, with 17 field types and formulas to choose from. You can use a new field as a column, filter, or sort option in lists. Fields marked sensitive are visible only to users with a separate permission.
- We have several companies. Can we manage them all in one place?
- Yes. You set up your group companies in the same IWB workspace. Each company keeps its own books, and users see the companies they have access to. The multi-company groups page has the details.
Laboratories5 questions
- Is there a separate version of IWB for laboratories?
- No. Laboratory (LIMS) is one of IWB's modules and works alongside Sales, Finance, Inventory, and Accounting. You define your own sample catalog, analyses, and limit sets, and add methods from an optional library of 54 standard methods. The only ready-made setup template covers coal analysis.
- Can water and environmental labs track field samples?
- Yes. You link each sampling plan to a customer, site, date, and person in charge. Field readings of pH, conductivity, temperature, and flow rate go on the sampling record, along with the seal and the witness count. You define sites, units, stacks, and measurement points, and the limit is chosen by sampling type.
- Can a quality control lab that tests its own production use IWB?
- Yes. A sample type's purpose can be service, quality control, proficiency testing, or R&D. Quality control samples open in an internal intake with no customer, get their own number series, and aren't invoiced.
- Where are lab quotes prepared?
- In Sales. Each line carries the analysis or profile, sample type, number of replicates, and limit set, plus a subcontractor if needed. Once the customer accepts, you send the quote to the lab's intake. Lab lines don't turn into sales orders.
- Can my customers follow their results in a portal?
- No. The customer portal has no laboratory screens. You email the archived PDF of the report, or mark it as delivered in person or by courier. Your customer verifies the printed report's details by scanning its QR code.
Service networks5 questions
- Do we need separate software for our service network?
- No. The Field Service and Help Desk modules run on the same database as inventory, sales, purchasing, and finance. Service point records, tariffs, and the dealer portal are part of Field Service. Your workflow is set up in standard IWB, not in a separate version.
- Where do dealers see their own work?
- In the dealer / service portal. Dealers accept or reject the jobs you send, enter progress, and have the customer sign the installation report. They also follow their warranty claims and progress billing reconciliation there. They can't see your finance data, inventory, or customer list.
- How do the units we sell get into service?
- Each serial number you ship gets an equipment record. You can import your existing installed base from a CSV file, up to 1,000 rows at a time. You can print QR-coded equipment labels for up to 200 units at a time.
- Can we recover the cost of a replaced part from the supplier?
- You open a recovery claim against the supplier and track it. Supplier RMAs are opened from a customer RMA line or from the removed part, and the recovery claim goes to the supplier of the part that caused the fault. A report shows the amounts claimed, accepted, and collected. If a dealer doesn't return a defective part as required, its cost is deducted from the next progress billing or collected through a draft invoice.
- How are visits under a maintenance contract tracked?
- You link the periodic maintenance plan to the contract. The contract's status can stop maintenance orders from being generated, the visit quota limits them, and each completed maintenance visit is recorded against the contract's usage. The maintenance plan doesn't create invoices.
Manufacturers5 questions
- Is there a separate edition of IWB for manufacturers?
- No. Manufacturing and Requirements Planning use the same records as IWB's Inventory, Purchasing, Sales, and Accounting modules. A machinery, food, plastics, or metal manufacturer sets up IWB with its own BOMs, routings, and warehouses.
- Can we track lots and expiration dates in food and chemicals?
- Yes. Each lot carries its production date, expiration date, and status: quarantine, available, or blocked. When stock goes out, lots are picked first in, first out (FIFO), first expired, first out (FEFO), or by hand. You can trace a lot back to its raw material lots and vendors, forward to production orders and customers, and list the customers affected.
- Can we make custom products to order?
- Yes. From a sales order line you create an order-specific BOM that's used only for that order and doesn't appear in the catalog. BOM lines can use formulas, and quantities that depend on dimensions are calculated once when the production order opens, then stay fixed.
- Can we work with multiple warehouses and companies?
- Yes. You share a product record with the companies you choose, while stock and cost stay separate in each one. When MRP plans by warehouse, it first suggests covering the requirement from available stock in another warehouse.
- Can our quality lab run in IWB too?
- Yes, with the Laboratory (LIMS) module. Quality control in Manufacturing is kept simple: it records whether a step or lot passed inspection. Work that needs samples, analyses, limits, and reports runs in Laboratory, where quality control samples are opened without a customer and aren't invoiced.
Contracting and tenders5 questions
- Is there a separate edition of IWB for contractors?
- No. Tender Tracking, Contracts, Projects, Finance, Purchasing, and Accounting are IWB modules, and contractors use them together. Public tenders under Turkey's Public Procurement Law (No. 4734) and private-sector invitations to bid use the same tender record.
- Do we track letters of guarantee on the tender record?
- No, the tender record has no guarantees tab. You track letters of guarantee in Finance, and expiry and release warnings show up in your task list. The guarantee calendar lists open guarantees with their release triggers, along with how much of each bank's non-cash credit line is in use.
- Does IWB calculate price escalation in progress billings?
- No. The price escalation basis is stored as text on the contract, and progress billings don't calculate it. On the tender side, the domestic producer price index (Yİ-ÜFE) only updates the amounts on work experience certificates, which prove a bidder's past projects.
- How do we track tax on multi-year construction work?
- Each progress billing on multi-year construction and repair work has 5% income tax withheld. At provisional or final acceptance, IWB suggests the revenue and withholding transfer and prepares a draft entry, but it doesn't record the accrual itself. Contract stamp tax works the same way, with a suggestion and a draft journal entry.
- Who prepares and who approves a progress billing?
- Preparing and approving progress billings are separate permissions, so you can give them to different people. An approved billing stays fixed, and corrections go through a new reversing billing. Contract actions don't use a multi-step approval flow, but on tenders you can route the bid decision, price approval, and award record through approval.
IT and software5 questions
- Do we need a separate edition of IWB for a software company?
- No. Licenses and Help Desk are IWB modules. For IT firms, these two are set up together with Contracts, Projects, Sales, and CRM. The Licenses module tracks the software you sell and use. It has nothing to do with IWB's own license.
- Can our customers see their licenses in the portal?
- No. Customers can open tickets, reply, and close them in the portal, but licenses don't appear there. Tickets are linked to the license, and your team approves the credit deduction at closing.
- How do we bill customers for implementation and support hours?
- On a time-and-materials project, approved hours count as earned revenue and move to the ready-to-bill list. The lines you select become draft sales invoices, one per customer. A support ticket doesn't create an invoice on its own.
- We're based in a Technology Development Zone (TDZ). Can we track hours worked inside the zone separately?
- Yes. Each time entry takes its work location from a fixed list that includes Inside TDZ and Outside TDZ. Break down the Task hours report by work location to see hours inside the zone on their own.
- We also bid on public IT tenders. Can we add tender tracking?
- Yes. If you turn on Tender Tracking, you can pick the IT / Software Services package from the ready-made industry packages and install it. The package sets up its profile, stage, document type, and cost type rows together. When you win a tender, you can hand the work over to a project.
Multi-company groups5 questions
- Do we need a separate IWB setup for each company?
- No. You set up your group companies as separate companies in the same IWB workspace, each with its own tax ID, document series, and books. Users switch between the companies they have access to in the same session and can view several at once.
- How is each company's data kept apart?
- Each IWB workspace's data is protected separately in the application and in the database, and users of one workspace can't see another workspace's data. Group companies in the same workspace are part of the same subscription, and user permissions keep them apart. A user sees the records of the companies they have access to, plus the contact and product cards shared with the group.
- Does the consolidated trial balance post elimination entries?
- No. The intercompany balance appears in a separate table and isn't subtracted from the totals, and no elimination entry is posted. That's why the consolidated total isn't consolidated revenue. The report reads posted entries only.
- Do we have to re-enter intercompany invoices in the other company?
- No. A sales invoice you issue to a sister company creates a draft purchase invoice in that company, and its accountant saves it. Both companies need to be linked to a contact card. IWB mirrors sales invoices only; orders and stock transfers aren't mirrored to the other company.
- Can approval limits differ by company?
- Yes. You set signing limits by person or role, action, and company, and amounts above the limit go to the next manager up. Approval steps can depend on amount, branch, and person. Only protected actions, such as purchasing, expenses, finance vouchers, and requests, can go through approval.
